5 Bookkeeping Best Practices Every Kenyan SME Should Follow
Good bookkeeping is not just about compliance — it is about having a clear, real-time picture of your business health. When your books are accurate and up to date, you can make confident decisions about hiring, expansion, pricing, and investment.
Here are five practices we recommend to every Kenyan SME we work with.
1. Separate Business and Personal Finances
This is the most common mistake among early-stage businesses. Mixing personal and business transactions makes it impossible to track true profitability, complicates tax filing, and can trigger KRA scrutiny.
Open a dedicated business bank account and run every business transaction through it. If you need to inject personal funds, document it properly as owner equity or a director's loan.
2. Reconcile Bank Statements Monthly
Bank reconciliation is the process of matching your accounting records against your bank statements to catch discrepancies. Do this every month — not at year-end. Unreconciled accounts hide errors, duplicate entries, and even fraud.
At AFI Solutions, we perform monthly reconciliations for every client. It is the single most effective way to maintain accurate books.
3. Track Every Shilling with Cloud Accounting Software
Gone are the days of Excel spreadsheets. Cloud accounting platforms like QuickBooks and Xero give you real-time visibility into your cash flow, automate bank feeds, and generate professional financial statements on demand.
If you have not yet migrated to cloud accounting, this should be your top priority for 2026.
4. Keep Digital Records and Receipts
The KRA requires businesses to maintain records for at least seven years. Physical receipts fade and get lost. Digitise everything — scan receipts, store invoices in the cloud, and maintain a digital filing system organized by month and category.
5. Review Your Financial Statements Monthly
A profit and loss statement tells you whether you are making money. A balance sheet tells you whether your business is healthy. A cash flow statement tells you whether you can pay your bills next month.
Review all three every month. If you do not know how to read them, that is exactly what an outsourced CFO is for.
